SALES & CRM
Every enquiry in one place.
Including those from Saturday night.
CRM implementation and automation for companies receiving enquiries through multiple channels – and unable to say where they ended up today.
ENQUIRY · ASSIGNMENT · FOLLOW-UP · QUOTE · CLOSE
No company loses contracts intentionally. They lose them in the inbox.
Enquiries arrive through forms, WhatsApp, phone calls and ads, and each one ends up somewhere different. Nobody knows for certain who replied last; there is no record of who needs to follow up. After two days, the prospect is with someone else – not because the offer was worse, but because it arrived later.
PROCESS
From enquiry to order, in view.
APPROACH
How implementation works.
01
Capture what happens today
Which channels generate enquiries, who handles them, and where they get stuck. This review takes one or two conversations and shapes everything that follows.
02
Define the stages
A pipeline has as many stages as sales genuinely distinguishes – usually five to eight. Every stage has a criterion; otherwise, everyone moves cards based on instinct.
03
Connect the channels
Forms, WhatsApp, phone calls and ads all feed into the same list. From this point on, no enquiry exists in just one inbox.
04
Automate follow-up
Follow-up tasks, reminders and standard messages come from the system. Sales decides what gets written – not whether anyone remembers it.
05
Train the team
A system nobody uses costs more than having no system at all. That is why onboarding and support during the first two weeks are included.
06
Measure
Response time, number of open cases, conversion rate at each stage. Only these figures make it possible to improve sales rather than just talk about it.

BENEFITS
What changes as a result. What you notice day to day.
Saturday evening's enquiry is still there on Monday
Everyone can see who replied last and what was discussed
Follow-ups come from the system, not from memory
Holidays and sick leave no longer bring a case to a standstill
You can see how many enquiries become orders
No one transfers contacts to an Excel list anymore
When it makes sense.
Useful once more than one person handles enquiries or more than one channel generates them. Below that, a well-organised inbox is often enough – and that will be part of the assessment too.
Trades businesses with field service teams
B2B sales
Service providers with appointments
Businesses with multiple locations
Companies running ads
Teams of three or more
Seasonal businesses with peak periods
Revenue from existing customers
FREQUENTLY ASKED QUESTIONS
What clients want to know beforehand.
Which system do you use?
Usually Flow, our own customer operations system – it brings together pipeline, channels, automation and reporting. If your existing CRM is suitable, it is connected rather than replaced.
How long does implementation take?
A simple pipeline with two to three channels can be in place within two to three weeks. Data migration, multiple locations and integrations take longer – the scope is defined in advance.
What happens to our old data?
It is transferred where it is usable. Duplicate entries and outdated records are removed first – a new system with old disorder is not a new system.
Does everyone on the team need to use it?
Yes, otherwise a parallel world emerges again. That is why the pipeline is designed to be as simple as possible, not as comprehensive as imaginable.
What about data protection?
Contact details are personal data; you remain the controller. The system is configured to support deletion periods, access rights and data processing on behalf of a controller; the required documentation is included.
Can we switch later?
Yes. Data can be fully exported at any time. A system you cannot leave would not be used here in the first place.
CONTACT
First the process.
Then the system.
Tell us which channels enquiries come through and where they get held up. The pipeline follows from that, not the other way around.
